Administration Assistant/Receptionist

Job Summary:
M.D. Charlton Co. Ltd. (MDC), Canada’s largest distributor of law enforcement supplies, is looking for an Administrative Assistant/Receptionist. The office is located on Keating Cross Road in Saanichton, BC.
Primary duties are Receptionist and Accounts Receivable (AR) support. Some skills we are looking for:
- Excellent verbal and written communication.
- Organized, detail-oriented, and able to employ excellent time management skills to meet deadlines.
- Ability to provide clear, concise, and complete oral and written information at a level appropriate to the audience, while maintaining confidentiality.
- Excellent analytical and problem-solving skills.
- Self-motivated and able to work both independently and within a team environment.
- Advanced computer skills (Windows, Microsoft Office), and adaptable to using custom applications.
- Post-secondary certificate or diploma in administration and some office experience would be an asset.
Job duties include (training will be provided):
- Maintain a calm, courteous, and professional demeanour at all times.
- Greet and direct customers to the showroom.
- Answer all incoming calls on multi-line telephone, and answer inquiries requiring a solid understanding of regulations and services offered.
- Redirect calls as appropriate and take adequate messages when required.
- Update appointment calendars and schedule meetings/appointments.
- Assist accounts receivable by taking credit card payments over the phone.
- Sort and Handle mail, including receiving over the counter mail.
- Maintain current and accurate filing system for Accounts Receivable (AR) and Accounts Payable (AP).
- Maintain an adequate inventory of office supplies.
- Coordinate the repair and maintenance of office equipment.
- Maintain the MDC contact list.
- Provide word processing and secretarial support as required.
- Monitor and ensure the reception area is kept tidy.
- Monitor visitor access and maintain security awareness.
- Perform other clerical receptionist duties such as photocopying, collating, faxing, etc.

Shift:
- Monday to Friday ,7.5 hrs daily
Start date:
- Immediately if available or as from 1st August 2021
